Terms of Service

Please Read Carefully. By accessing or using The StaffBook, you agree to be bound by these Terms of Service. If you disagree with any part of these terms, you may not access the service.
1. Acceptance of Terms
By accessing or using The StaffBook ("Service") provided by StaffBook Technologies Pvt. Ltd. ("Company", "we", "us"), you agree to be bound by these Terms of Service ("Terms"). These Terms apply to all users, including administrators, employees, and guests.
2. Description of Service
The StaffBook is a cloud-based Human Resource Management System (HRMS) that provides tools for employee management, attendance tracking, leave management, payroll processing, document management, reporting, and related HR functions. The service is provided on a Software as a Service (SaaS) basis.
3. Account Registration
3.1 You must provide accurate, complete, and current information during registration and keep it updated.
3.2 You are responsible for maintaining the confidentiality of your account credentials and for all activities under your account.
3.3 You must be at least 18 years of age and have legal authority to enter into these Terms on behalf of your organization.
3.4 One organization per account unless explicitly authorized. Creating multiple accounts to circumvent limits is prohibited.
4. Subscription and Billing
4.1 Free Trial: New accounts may access a limited free trial. Trial features and duration may change without notice.
4.2 Paid Plans: Paid subscriptions are billed in advance on a monthly or annual basis. Prices are listed in Indian Rupees (INR) unless otherwise stated.
4.3 Upgrades/Downgrades: Plan changes take effect at the next billing cycle. Downgrades will not result in refunds for the current period.
4.4 Late Payments: We reserve the right to suspend accounts with overdue payments after a 7-day grace period and reasonable notice.
4.5 Refunds: Monthly subscriptions are non-refundable. Annual subscriptions may be eligible for pro-rated refunds within 30 days of purchase, at our discretion.
5. Acceptable Use
You agree not to use the Service to:
- ✕ Violate any applicable laws or regulations
- ✕ Upload or transmit malicious code, viruses, or harmful content
- ✕ Collect or harvest personal data without proper authorization
- ✕ Impersonate any person or entity
- ✕ Interfere with or disrupt the service or its servers
- ✕ Attempt unauthorized access to other accounts or systems
- ✕ Use the service for any unlawful or fraudulent purpose
- ✕ Resell or sublicense access to the service without written permission
6. Data Ownership and Privacy
6.1 You retain ownership of all data you input into the Service ("Customer Data"). We claim no intellectual property rights over your data.
6.2 You grant us a limited license to host, process, and transmit your Customer Data solely as required to provide the Service.
6.3 We will handle your data in accordance with our Privacy Policy.
6.4 Upon termination, you may export your data. We will delete your data within 90 days of termination.
7. Service Availability and SLA
We target 99.9% uptime for the Service. Scheduled maintenance will be announced in advance. We are not liable for downtime caused by factors outside our reasonable control (force majeure, internet outages, etc.).
8. Intellectual Property
The Service, including all software, design, features, and documentation, is owned by StaffBook Technologies Pvt. Ltd. and protected by copyright, trademark, and other laws. You may not copy, modify, distribute, sell, or lease any part of the Service without our written permission.
9. Limitation of Liability
To the maximum extent permitted by law, StaffBook Technologies shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, arising from your use of the Service. Our total liability shall not exceed the amount paid by you in the 12 months preceding the claim.
10. Indemnification
You agree to indemnify and hold harmless StaffBook Technologies and its officers, directors, employees, and agents from any claims, losses, damages, or expenses arising from your use of the Service or violation of these Terms.
11. Termination
Either party may terminate the service relationship at any time. We reserve the right to suspend or terminate accounts that violate these Terms without notice. Upon termination, your right to use the Service immediately ceases.
12. Governing Law
These Terms shall be governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of courts in Bangalore, Karnataka, India.
13. Changes to Terms
We reserve the right to modify these Terms at any time. We will notify you of significant changes via email or in-app notification. Continued use of the Service after changes constitutes acceptance of the updated Terms.
